Email is the curse of the modern worker. Some basic math reveals just how big the problem is. The average office-dwelling professional receives a hundred messages per day. At just two minutes per email, that adds up to three hours and twenty minutes per day. If an average workday is nine to five minus an hour for lunch, then email eats up nearly half the day.

Realistically, though, that’s a very conservative estimate, since those three hours and twenty minutes don’t include the wasted time needed to get back on task between checking emails. In fact, a study published in the International Journal of Information Management found office workers took an average of sixty-four seconds after checking email to reorient themselves and get back to work. Given the hundreds of times per day we check our devices, those minutes can add up.

A podcast to answer all your questions about productivity, time management, self-development and goal planning. My name is Carl Pullein and I am your host for this show. So, what am I talking about? I want to challenge you to commit to running and completing a full marathon in 2021. Why? As I will explain in a moment, marathon running teaches you life lessons that will benefit you in so many different ways. From improving your health, managing your weight to showing you that you are capable of doing something you previously thought was impossible or that you didn’t have enough time to do. I’ve heard all the excuses, and so I want to show you in this episode that no matter where you are fitness-wise, you can take this challenge and completely change your lifestyle. Now before I explain this to you, I just want to give you a heads up that my Create Your Own Apple productivity course has been updated and is available on my Learning Centre. While this year has not seen many functional changes to the apps you use, there has been a few changes to the way iCloud Drive works and I have also included how to set up the Time Sector System using only Apple’s productivity apps. So, if you only want to use the built-in apps that Apple provide for free and want the peace of mind using built-in apps bring you, then this is a course for you. Now, if you are already enrolled in the course, this is a free update for you, and if you are new to the Apple ecosystem and want to create a simple to use intuitive productivity system, then this course is for you. Full details of the course are in the show notes. Okay, no mystery podcast voice this week just me explaining why you should get yourself involved in the challenge. So, how does running a marathon transform your life? Well. Firstly, no matter what fitness level you have right now, to run 26 miles or 42 kilometres requires practice, or as we call it training. You are not going to be able to decide to run a marathon today and go out on Sunday and run 26 miles. Marathon running does not work like that. To complete a marathon requires a period of about six to ten months of consistent training. You have to go out and run five to six times per week, every week for six to ten months. There is no getting around that and you cannot take any short cuts. Because you are committing to training that many times per week you have to plan your training. If you have a busy week, where are you going to fit in your training runs? When you go on holiday, how will you continue your training? What will you do when the inevitable injuries happen—and they will—how will you maintain your fitness? All of these factors need careful consideration. Plus, if you are over the age of 35 and have not exercised for a number of years, you will need to visit your doctor for a medical check-up. Marathon running puts a huge strain on your physical body and you need to make sure your heart and lungs are capable of going through the effort you will have to put yourself through. Okay, so there are the challenges before you start. How does running a marathon help your productivity and your self-development? The first, and in my opinion the most important, is it develops your self-discipline. Life is too easy for most of us today. We live in an incredibly convenient world. You’re sat down on the sofa binge-watching The Crown on Netflix and you feel hungry, all you need do is open your phone go to your local pizza takeaway app and order your favourite pizza and within 30 minutes you have a hot steaming plate of delicious pizza in your lap. With the exception of answering the door, you hardly needed to move. Total calories expended—about 40. Your pizza will contain at least 1,200 calories and watching TV will amount to less than 100 calories. But, when you know you need to get in your daily run, you have to pull yourself up, get off that sofa and go out and run. No excuses. To do that requires a huge amount of self-discipline and effort. When it’s pouring down with rain, the temperature has plummeted into the minuses (less than 30 degrees Fahrenheit) and the wind is blowing a gale, the determination and self-discipline required to put on your running shoes and go outside is massive. That kind of mental training prepares you to achieve anything. It teaches you to push through no matter how hard—or boring— something is. And you learn that to achieve anything takes consistent effort over a period of time. Secondly, marathon running moves you away from the pernicious instant gratification trap many of us have fallen in to. The last twenty years or so has been fantastic. Technology has transformed almost everything we do. Sadly, the drawback to this is we expect everything to come to us at the push of a button. I remember when you ordered something by mail order, at the bottom of every order was the notice “please allow 28 days for delivery” and we were absolutely fine with that. Today, if you live in the right area, you can order something online at 8 PM and it will be sat outside your door when you wake up the following morning. Nobody is prepared to wait 28 days for their delivery today. I can order a box of food from the UK using the fantastic site, The British Corner Shop, and that box will be delivered half-way around the world here in Korea within three to four days. Something that was impossible just fifteen years ago. But with that instant service has come an expectation of instant gratification, yet great things take time to develop. Completing a marathon might not change the world, but it will change your world. The time and effort you put into preparing shows you that by taking consistent steps five to six times per week you move yourself bit by bit to a successful outcome. And that is how great businesses are built. It’s how amazing careers are developed and it’s how you build a successful life. None of these can be achieved at the push of a button. To achieve any kind of success takes time, effort and consistency. You have to push through the difficulties, you have to learn how to deal with adversity and you have to learn to stay focused on the outcome. Marathon running does that. To finish your marathon, you need time, you need consistency and you need to put in the effort. Another lesson marathon running teaches you is that Google, Facebook and books can only take you so far. You will never complete a marathon by just planning and researching, At some point, you have to get outside and run. You can plan and research as much as you like, but that will never prepare you for a marathon. The only way you can prepare for a marathon is to get outside and run. Too often I come across people who tell me they want to start a blog or begin a podcast but first they must… You fill in the blank. There’s always more research to do, there’s always something else they must do before they start their blog or podcast. No! Research and thinking will never create a blog or podcast. 127. Good Habits, Bad Habits: An Interview with Wendy Wood
Today I am so excited to introduce you to Dr. Wendy Wood. Her fantastic new book Good Habits Bad Habits (which I mentioned last week was voted book of the year in the Habit Weekly Awards) is just one of the many amazing things she has contributed to the field of habits. Much of what we know about habits is thanks to Wendy’s research. The things we now know about how habits work and what they’re doing in the brain is in large part because of her. Wendy is a social psychologist whose research looks into the ways habits guide behavior and why they are so difficult to break. She is provost professor of psychology and business at the University of Southern California and has been Associate Editor of Psychological Review, Journal of Personality and Social Psychology, Personality and Social Psychology Review, and Personality and Social Psychology Bulletin. She is a Fellow of the American Psychological Association, the American Psychological Society, the Society for Experimental Social Psychology, and a founding member of the Society for Research Synthesis. Her research has been funded by the National Science Foundation, National Institute of Mental Health, and Rockefeller Foundation. Prior to joining USC, Professor Wood was James B. Duke Professor of Psychology and Neuroscience and Professor of Marketing at Duke University, and she is just a lovely person whom I really enjoyed talking to. Show Notes: * [00:42] Today I am so excited to introduce you to Dr. Wendy Wood. Her fantastic new book Good Habits Bad Habits is just one of the many amazing things she has contributed to the field of habits. * [02:47] Wendy is a social psychologist whose research looks into the ways habits guide behavior and why they are so difficult to break. * [04:52] Habits are part of our unconscious. They are a way our brain learns by connecting what we’ve done in a given context that got us a reward. * [05:20] All mammals have a habit learning system. * [07:05] With a habit you are repeating what you have done before while your mind is off solving other problems. * [08:41] A habit frees our mind to do other things. When the habit is disrupted, we are stuck back having to make decisions. (Brain doesn’t like that!) * [09:45] COVID has disrupted all of our habits and we had to start making decisions about things we don’t usually have to think about. * [10:36] Wendy recommends not expecting as much from yourself during the uncertainty of the pandemic. * [11:05] Once we are removed from our habits, sometimes we end up finding things that work better. (Be open to that possibility!) * [14:25] Research found that for habitual runners the place where they typically ran activated thoughts of running. Those thoughts perpetuate their behavior. * [16:08] The context in which you typically perform the behavior can trigger thoughts of that behavior. (Reinforcing it.) * [17:30] Context activates habits and we usually act on those habits in mind. Goals are what drive the more occasional behaviors that we have to make a decision to do. * [19:01] If you do an activity in the same way every time, you are more likely to form a habit. You also want to be able to repeat it regularly. Also, look for what makes it rewarding to you, as we are more likely to repeat behaviors that we find rewarding. * [20:42] Research has shown that it is important to find ways to perform the habit easily. You will do something more if it is easier. We can often set up our environment in a way that would make it more likely that we will perform the habit. * [23:15] There is a lot of science behind the importance of making good habits easy for us. * [24:15] Along with making the desired behavior easier, you want to make the things that are more problematic (those you want to avoid or stop doing), more difficult. * [26:04] Wendy recommends reverse engineering what your environment is pushing you to do. * [27:38] If you can incorporate the desired behavior into your daily routine it is so much easier to get yourself to do them. Anything that adds to the hassle makes it more likely you will not do it. * [30:01] Wendy shares her favorite study (which also happens to be the one she is currently working on). * [32:01] They found that social media revenue is closely tied to habitual use. * [33:26] Thoughts and tips for marketers on using habits for good. * [35:52] Product manufactures have to take habits seriously. * [36:47] The trick is keeping up with current development while also taking advantage of the cues that already keep your habitual customers coming back. * [39:01] Weight loss programs, in general, don’t benefit from you losing weight and keeping it off. Their model revolves around repeat customers. * [41:09] If you want to change your behavior, the way you typically go about it is not the most effective. We focus on our conscious decision-making self while our habits run in the background. * [43:31] If you can make it easier in your life to do the right thing and harder to do the thing that is being a problem. How the CEO of Bay Federal Credit Union Takes Care of Herself & Her People
Carrie Birkhofer is President and CEO of Bay Federal Credit Union, a non profit financial cooperative with 225 employees. She’s been the CEO there for 25 years and under her leadership the credit union has grown from $70 million to $1.4 billion in assets. This year has brought on a lot of challenges for leaders in every industry. Some leaders have struggled and even failed. Others have really embraced change in order to help their people get through these tough times. One CEO that has really used the current challenges to make her organization even better is Carrie Birkhofer, President and CEO of Bay Federal Credit Union. Even before the pandemic she knew the importance of putting people first. Carrie was one of the CEOs I interviewed for my book, The Future Leader and during the interview she said the following, “I meet employees the first hour on the first day they start at the Credit Union. New employees are welcomed as a group and when new hires start together, I’m there. I greet them, I welcome them, and I answer any questions they may have. All new employees, regardless of their position are seen, heard, respected, and listened to by the leader and they know that I’m there to serve them, not the other way around.” This is a great example of what leaders should be every single day, but especially now as we all go through the historic crazy times 2020 has brought. Leaders should serve their people, their people should not be there just to serve them. What does servant leadership look like What does it look like to serve your employees? Carrie has some great real life examples of what it looks like. First of all, Carrie makes sure she meets new employees on their first day at work. In good times, pre-COVID that meant four or five current employees and Carrie getting together in person with the new employees. The current employees would share who they are, what their path has been at Bay Federal, and something interesting that they want to share. Then they would have the new employees do the same thing, except they would share their paths getting to Bay Federal. And then Carrie would go last, because she doesn’t want to influence the process. Most people don’t even know who she is until she shares. She also gives the new employees a chance to ask any questions they want. But because she realizes they may be too nervous to think of anything, Carrie and two executive vice presidents take that same group out for lunch so they can ask their questions once they are more comfortable. Obviously this process looks a bit different with COVID. But this is still a priority for Carrie, so the initial meeting is done either via Zoom or in a large room where everyone is socially distanced. And instead of physically taking the group out to lunch she orders everyone lunch from Door Dash and they get to eat at their home while on a Zoom with Carrie and her team. She also started writing a Friday morning email to all employees when things got crazy earlier this year. She wanted to make sure everyone was up to date and had all the information they needed. She got such great feedback from it, that she continues it to this day. And even though she says it is a lot of work on her part, it is worth it because it has allowed her to be even more connected with her team. This year has also brought a lot of attention to racial inequalities. Carrie wanted to make sure she addressed this in the right way. So she called up all of the employees in the company who identify as black and she checked in on them. She asked how they were doing, she asked what she could do to help, and she made herself available to them. She genuinely cares about her people and she wants to make sure that every single one of them is heard and respected. The day to day of a CEO before and during COVID As a CEO Carrie’s day to day looks a little different now. Pre-COVID Carrie would be out of the office a lot more. She attended community events, went out to build business relationships, took part in conferences. But now she is primarily working from home. And she has been spending a lot more time communicating with her employees, the board of directors, and the senior leadership team. Nowadays she wakes up quite early with her new puppy. She starts her day off by going for a walk to the Monterey Bay where she does a gratitude mantra. This has really helped her to stay grounded during all of the craziness of 2020. During her walk when she gets to a certain spot she takes time to ask for wisdom and guidance from family members who have passed on. She says a prayer of thanks. She gets perspective and reflects. And she takes in the view of nature around her. She does this every single day without fail, rain or shine. Then when she gets back she has some coffee and goes into her office (which right now is in her bedroom). She takes a look at her calendar to see what her day looks like, every day is very different, but generally she has Zoom meetings and activities from 8:30am to 4:30pm. And she ends her day with the same walk she does in the morning. She is very involved in her Rotary Club, she has the new employee orientations on the first Monday of every month, she meets daily with her executive assistant, and daily with her two vice presidents. She also meets twice a week with her senior leadership team. And while the amount of communication needed these days can be exhausting, she enjoys feeling more connected to her team now than ever before. Making the shift at first seemed daunting but as Carrie shares, “Well, on March 13, the governor kinda hinted that we were shutting down and on March 17 everyone went home. And we adapted that day, it took about a week for the technology team to get 100 employees situated at home and I know companies much larger than us did as well. It was kind of a miracle in the business world, that we all did it. But it happened really quickly. It happened overnight. And if you had told me six months ago that this is something that we will have to do, and this is how we're going to operate, and you're gonna do it in less than a week, my team would have laughed at me. But we did it. And we just, I think it shows the power of having a clear mandate. That's an important thing. If you have clear crystal clear direction, I think teams can do amazing work. And it also shows me the power of a team that is very synergized and works collaboratively together.” Keeping culture alive while working remotely Bay Federal has a lot of unique activities in place to keep the company culture alive when so many team members are working from home. One tradition they have had for a long time is around Halloween. Before the pandemic they had every department pick a theme and the employees decorated their area over the top with props and everything. Then the senior leadership team would go around to every location throughout the day. It was a very big production. But knowing this year they had to do it a bit differently they made the whole week of Halloween spirit week where everyone could dress up for a different theme every day whether they were physically in the office or working from home. Everyone got to upload a picture of themselves in their costume and prizes were given out to the best ones. Carrie also makes sure to start each meeting with a different fun question, like what is your favorite rock band? What is your favorite meal that you are Door Dashing right now? This practice really helps with Zoom meetings so that they don’t just jump into things without doing something fun first. Carrie has also used this question time to ask people what their favorite cake is, and she keeps track of all the responses so she can send people their favorite cake on their birthday. The leadership team was able to have a socially distanced barbeque where they got to play trivia games, good food, and they could reconnect since they hadn’t been together in quite…
