S4 EP11: Create Improvements With Business Central Through System Administration
There are particular indicators that something might be wrong in your Business Central / NAV system. Join Kim Congleton and me as we talk about setting and maintaining Permissions, preventing possible issues, and becoming more proactive.
Essential points covered in this episode:
✔️ System administration is often one forgotten area, especially for companies with smaller I.T. teams. Kim shares that creating customer improvements requires assessing their system through a checklist related to the system admin.
✔️ Ask: Does everybody have the super admin permissions? There's a lot of risk to having somebody be a super admin or having everybody be super in the system. Kim adds that super permission can be pretty dangerous if you don't know what you're doing. Learn to master controls and access, understand the permission hierarchy and adopt the best practices for setup and managing.
✔️ Look at the older versions as an indicator that there might be something wrong. Somewhere in the setup, people can't tell why something happened or why financials are changing. Posting dates and setups in accounting is a symptom of what's lacking.
✔️ Focus on symptoms of system administration issues. Making sure that your system runs optimally is something you want to pay attention to. People put it on the back burner and get their improvements and efficiencies on hold, which can result in bigger issues.

Our senior consultant Robb Delprado, a BC/NAV subject-matter expert, trainer, and champion member of the New View Strategies team, shares a new success story of an organization he's assisted. Despite the company doing a great job on the implementation and moving to go live, they faced issues with their year-end inventory. They struggled with why they couldn't delete old purchase orders. ✔️ It can be highly frustrating to encounter errors and not know what to do about them just as everything's going great with your BC/NAV system. The systematic way to solve this is ensuring that people train upfront as part of the onboarding process or take refresher training.
✔️ Managing the expected receipt date on those purchase orders is the tiny field that makes a big difference. In today's environment, where vendors have much longer lead times than anticipated, that impacts the sales side, too, because the people placing sales orders think that the inventory or the equipment will arrive sooner than it probably will. Managing the expected receipt date on those purchase orders will get a better timing for your availability. It also lets the sales staff know when they're putting the orders in review availability. A big thing these days is a lead time on purchase orders and making sure you're current.
✔️ Users can do the darndest things due to lack of training, creating future issues that could have been 100% preventable in the first place. S4 EP09 - Sales Process Improvement with BC/NAV
Companies that grow fast bring this common pain point for employees — incurring more work than they can handle, especially in the sales and tax setup. They are often unaware that underutilized features in their BC/NAV system make it more efficient and automated.
Essential points covered in this episode:
✔️ You really need to evaluate what's taxable and not. Organizations tend to underestimate the importance of adequately evaluating their tax groups when using the BC/NAV system. NVS senior consultant Robb Delprado finds that this is the most common scenario in many companies.
✔️ Use default values instead of people having to figure it out. Any time decision-making is involved, it creates the possibility for more errors. By having the system do the work with populating those default values, you're futureproofing them from big red flags for auditors and can cost you more headaches and extra costs.
✔️ The big field on the sales order is the shipment date. This is critical on sales orders to determine when something is needed or when it's available. You'll have a more happy customer that you're selling to because you're giving him a more accurate date.
✔️ Prepare for sales process evaluation. How are you posting revenue? Does it need to be looped by location? Is there an office or branch code that we need to verify is getting validated correctly? Are there special prices that are out there for unique customers? What are the special prices for specific items? These are factors needed to be set up correctly in the system.
✔️ Change happens all the time with companies. The level and complexity of work change over time, and they need to adapt continually, making use of their BC/NAV system. The process that we utilize to help organizations improve takes change management and pace of change into consideration to ensure that they easily adopt those changes.

S4 EP03 - Business Process Improvements With Accounts Payable with Kerry Peters & Cari Corozza
Do you find your AP team stuck with getting accounts payable entered and paid on time that they are unable to focus on doing other finance processes in the company?
This results from inefficient bookkeeping workflow, skepticism in getting an accounting professional to work remotely, and transitioning to a paperless accounting system that affects your ability to close your month faster.
At New View Strategies, we ensure that when we step in and work side-by-side with our customers, we make it possible for them to maximize the BC/NAV system and train their AP team to become more comfortable with the paperless and remote processes.

✔️ A very strong AP person is the key to a really strong accounting department. Numerous transactions posted in your general ledger will come from purchase invoices or invoices from purchase orders. Suppose those are entered to the wrong accounts, incorrect amounts, or even the wrong dimensions — it can take a lot of fixing at month's end because first, you need to review and find all of those errors.
It is, therefore, crucial to have an accounts payable employee who is properly trained on what can be done with the Business Central/NAV system because a lot of people don't know what the functionality is. An accounting team that doesn't know what to do with the system will be ineffective and hurt your business in the long run.
✔️A BC/NAV feature that not many people use is Deferrals. NVS Accounting Manager Cari Corozza shares that this is her favorite function that immensely improves how users can process accounts payable. This helps eliminate the number of journal entries made at month end by doing it upfront on the purchase invoices.
✔️ Save time, frustration, and tons of paper. Corozza explains that once organizations learn to take little steps in making that transition, they will feel more at ease with how that process will look in the future. "We're taking into account all of the little intricacies or needs of that company to make sure that the process we're presenting for paperless is going to work for them. So just making sure that everyone's on board with that and then helping implement that process helps everyone in the company get a little more comfortable with the paperless and remote process."
✔️ By transitioning to more electronic payments, vendors are more than happy to help. Many businesses still rely on writing checks with a chance of them getting lost in the mail or getting late fees due to delivery delays. Companies that do this will face more challenges in the future unless they become paperless and pay vendors electronically; the accounting department stalls having more efficiency in their processes.

S4 EP02 - Process Improvement With Journal Entries with Kerry Peters & Cari Corozza
One of the main points of frustration for Business Central users is handling journal entries. We often receive feedback on how users spend a lot of time manually entering things and doing reversals for accruals in the system. There is a ton of functionality in BC that not many are aware they can take advantage of.
NVS Accounting Manager Cari Corozza shares how they were able to help a company go from 15 days to five days close. By enabling the company to save ten days in the accounting cycle, they can spend more time putting together account schedules, financials, analyses, and other important work.
Essential points covered in this episode:
✔️ How much time do you spend manually posting transactions to convert to ledger entries? One of the first things we recommend at New View Strategies is using recurring general journals. This allows you flexibility with journal entries booked month after month, quarter after quarter, or maybe just once a year. This essentially builds a template for those journal entries and allows the user to say how often they want those journals to be generated and whether or not they want the amounts to be reset or stay the same.
✔️ What's the best way to put things from Excel into Business Central for journal entries? Many people will use configuration packages or edit in Excel or journal imports. Corozza points out that copying and pasting are seemingly simple yet the most efficient and accurate form to get journal entries. "What I found in all of my years is that it's efficient and accurate for getting journal entries either from Business Central to Excel or from Excel to Business Central. Once we help them create these templates in Excel, they can fill them out every month and then copy and paste them into their general journals. You can also copy and paste into recurring general journals as long as those additional fields are set correctly."

Always stay on top of the different changes and benefits that Microsoft introduces. Learn to use functionalities you may not know and post financial transactions to accounts easier and faster.
